Introducing Reports 3.0: an Adaptable & Intuitive Reporting Engine
This month’s launch of ViewPoint Cloud 3 includes a new and improved reporting engine. Whether you want see what tasks are assigned to who, export a monthly report, or find records that have outstanding payments, Reports provides an adaptable, intuitive interface for surfacing that information.
The first thing you’ll notice in the platform, is that Reports is sorted into six categories: Records provides an overview across all record types, Projects lets you examine Smart Projects specifically, while Approvals, Payments, Documents, and Inspections hone in on records that include the corresponding step as part of their workflow.
A drop-down menu also allows you to choose whether to view reports that cover All Departments, or only reports for a specific department. ViewPoint Cloud will remember your departmental view setting for when your return, though it’s easy to change at any time by selecting another option in the drop-down.
Within a given report, you can also add or remove filters, customize what columns you want to be visible, share reports, export reports, and click into any given record to take an action.
In addition to using pre-built default reports, you can start from scratch or copy and edit an existing report. The simplified interface is easy to navigate so that you can get broad or granular and adapt however you need without being a database/reporting expert.
When editing a report, you simply click the Filters tab and select any field that exists within the record to use it as a customized filter. When it comes to types of filters, all options are made possible—if the data is in the system, you can report on it. You can filter by Date Range, Location Flags, Status, Building Type, etc.
The Columns tab gives you ultimate flexibility to check or uncheck boxes to determine what columns the report will display. This way you’re in control of what fields are shown, and you can apply filters as needed without including them all in the report’s spreadsheet.
Perhaps the most exciting addition to the new reporting engine is the ability to share a report with a simple click. Once you share, that report is automatically made visible to anyone else looking within the report’s corresponding department. So people don’t have to go searching for the report to gain access to it; the report will automatically appear under the Explore Reports section.
Reports in ViewPoint Cloud goes beyond simply downloading reports, though you can absolutely export the data as a csv file for other uses. ViewPoint Cloud also allows users to take immediate action by clicking into a record’s workflow from the report itself. For example, if you’ve created a report of electrical permits with active users, you can click into those records and assign employees for approvals or change their due dates.
